Assistant Manager Security (Physical Security Operations)

Job Description

  • Ensure robust physical security operations, including maintaining effective perimeter security, in close coordination with building security. Report any abnormalities to stakeholders promptly and take immediate corrective actions as needed.
  • Provide leadership and guidance to the security staff at the company's business units in the Mumbai region.

Job Responsibility

Physical Security Operations - 45%
  • Ensure that written processes and procedures are available for every operational activity, with periodic revisions as needed.
  • Ensure the Security Team provides guidance and assurance to staff, building a reputation for operational excellence.
  • Manage and enhance the effectiveness and efficiency of support services (visitor management, material management, escorting, access control, alarm response, emergency response, surveillance, etc.), ensuring no undue complaints from customers.
  • Maintain a professional outlook for the entire security team through close monitoring and taking corrective actions.
  • Ensure compliance with the Site Security Activity Planner (SSAP) within the given timeline.
  • Conduct regular briefings, provide coaching, and ensure timely refreshers for all security team members.
  • Ensure no compromise in post manning, prepare the duty roster, and update all with changes as required.
  • Regularly update time & attendance and leave records in the workday application.
  • Ensure minimal overtime without exposing the business to risk.
  • Distribute routine operations reports to all concerned parties and assist in MIS.
  • Keep line managers informed of internal and external issues or events that may potentially impact GIA’s operations by maintaining close vigilance.
  • Record all abnormal instances in the LIR format and investigate, recommend corrective actions.
  • Ensure an effective material management process with no undue non-compliances.
  • Ensure an effective visitor management process with no undue non-compliances.
  • Maintain all records according to standards, fulfilling statutory and regulatory requirements.
  • Provide prompt, professional, and effective assistance to all internal and external customers.
  • Assist in performance appraisals by keeping records of all positive and negative instances of each team member.
  • Ensure all team members complete mandatory training on time.
  • Hold all team members accountable for their non-compliances.
Emergency Response Preparedness – 25%
  • Maintain thorough knowledge of the 'site emergency response plan' (GIA and TC-Building) and implement it during emergency situations and mock-drills to ensure life safety and asset protection.
  • Ensure quick and prompt response in all emergency situations (in accordance with SOPs) by yourself and all officers.
  • Ensure prompt first-aid assistance is rendered to staff, students, and visitors.
  • Assist in ensuring all scheduled tests of emergency communication systems (PAS, Radio, SOC-Mobile, and Fire-Hooters) are conducted.
  • Assist in ensuring scheduled tests of all fire-detection and suppression systems and their integration with the security access control system, including integration with building systems.
  • Ensure all security officers are trained on safety and first-aid training programs.
  • Assist in ensuring all guidelines received from RJC are followed and implemented.
Training – 15%
  • Ensure that all security staff receive the appropriate level of training on disasters, fire and bomb procedures, the use of technical equipment, and routine security duties. Regularly test their knowledge several times per year.
  • Keep the security team training plans up to date for all security staff and test their knowledge of procedures regularly.
  • Ensure the on-time completion of assigned training by all security staff.
MIS – 15%
  • Ensure all security incidents are recorded and followed up with actions in the prescribed format (LIR/CAR) and reported within the given timelines.
  • Ensure all security and safety devices are thoroughly inspected for their operations, and reports are submitted on time.
  • Update the departmental YTD report with the required information on a monthly basis.
  • Ensure all policies and procedures established under the Laboratory’s Management System (LMS) are acknowledged and implemented at all levels of the department, in alignment with the requirements of the ISO/IEC 17025:2017 standard.
Qualifications:
  • Bachelor’s degree or equivalent Work Experience - Minimum of 3-5 years’ experience in handling safety & security operations.
